At WILD4 Photo Safaris, we aim to keep things clear, fair, and easy to understand. These Terms & Conditions are designed to protect both you and us, while setting out exactly how your booking works.

By paying your deposit and submitting your booking form, you confirm that you have read, understood, and agreed to these Terms & Conditions.

1. BOOKING CONFIRMATION & PAYMENT

A booking is confirmed once we receive your completed booking form and the required deposit per person.

Deposit amounts vary depending on the safari, accommodation, and third-party supplier requirements. These will be clearly outlined in your quote.

Payments can be made via bank transfer or credit card (a 5% surcharge applies to card payments). All bank charges are the responsibility of the client.

All bookings are subject to availability and are only confirmed once we issue written confirmation.

2. OUTSTANDING BALANCE PAYMENT

The final balance is due 90 days prior to the safari start date.

For bookings made within 90 days of departure, full payment is required at the time of confirmation.

If payment is not received by the due date, we reserve the right to cancel the booking and retain any payments already made.

3. CANCELLATIONS & REFUNDS

All cancellations must be made in writing and are effective from the date we receive them.

3a. Deposit Stage (more than 90 days prior to departure)
Deposits are non-refundable for both scheduled and custom safaris.

It is the client’s responsibility to have adequate travel insurance, including trip cancellation cover, to protect against this loss. Whether or not insurance is taken out is entirely the client’s decision.

If you choose not to take out trip cancellation cover and WILD4 Photo Pty Ltd is able to resell your place on the safari, we may consider refunding the deposit (less a USD $500 administration fee). This is not guaranteed and will be assessed on a case-by-case basis.

3b. Cancellation within 90 days of departure
Where full payment has been made, 50% of the total safari cost will be forfeited.

It is the client’s responsibility to ensure their travel insurance covers this loss.

If WILD4 Photo Pty Ltd is able to fill your space with a new booking, we may consider a refund (less a USD $500 administration fee). This is entirely at our discretion and assessed on a case-by-case basis.

3c. Cancellation within 30 days of departure
100% of the total safari cost will be forfeited.

Your travel insurance should cover this loss.

3d. General Conditions

No refunds will be given for:

• late arrival

• no-show

• early departure

• any unused portion of the safari.

All payments are non-transferable to other departures or clients.

Bank fees and transaction costs are non-refundable.

Third-party supplier cancellation terms may apply and may override parts of these conditions.

4. TRAVEL INSURANCE (Highly Recommended)

Comprehensive travel insurance is highly recommended for all clients.

Your policy should include adequate cover for medical expenses, emergency evacuation, trip cancellation or interruption, and loss or damage to photographic equipment.

If you choose to travel without insurance, you accept full responsibility for any financial loss.

5. CHANGES OR CANCELLATIONS BY WILD4 PHOTO Pty Ltd

We reserve the right to make reasonable changes to the itinerary, accommodation, or logistics where necessary.

In rare circumstances, we may need to cancel a safari due to factors such as insufficient bookings, safety concerns, or events beyond our control.

In such cases, we will offer either a full refund of monies paid or the option to transfer to an alternative safari.

In the case of us having to cancel, we are not responsible for any additional costs incurred, including international flights, visas, or insurance.

6. CHANGES BY CLIENT

Any requested changes are subject to availability and may incur additional costs.

Amendment fees may apply depending on supplier charges and administrative time required.

7. PRICES & INCLUSIONS

Prices are based on current costs and exchange rates at the time of quoting.

We reserve the right to adjust prices due to factors outside our control, including exchange rate fluctuations, fuel increases, government taxes, or supplier changes (incl. accommodation & park fees)

Your safari includes only what is clearly listed in your itinerary. All other expenses remain the responsibility of the client.

8. THIRD-PARTY SUPPLIERS

WILD4 Photo Pty Ltd acts as an agent for accommodation providers, airlines, transport operators, and other service providers.

While we carefully select our partners, we are not responsible for their acts, omissions, or service failures.

9. HEALTH, FITNESS & SAFETY

Safari travel often involves remote locations and close proximity to wildlife.

You are responsible for ensuring that you are medically fit to travel and for seeking appropriate medical advice on vaccinations and malaria medication prior to departure.

Any medical conditions or special requirements must be disclosed at the time of booking.

10. GORILLA & PRIMATE PERMITS (WHERE APPLICABLE)

Permits for gorilla trekking and other primate experiences must be paid in full, along with your deposit, at the time of booking.

These permits are strictly non-refundable and non-transferable once secured.

11. LUGGAGE & WEIGHT RESTRICTIONS

Many safaris include light aircraft flights with strict luggage limits.

We will always aim to secure a maximum allowance of 35kg (77 lbs) per person on our safaris. If you require more than this, you must notify us at the time of booking so that additional allowance can be arranged. This will be at an additional cost.

Final requirements will be confirmed in your itinerary.

12. ACCOMMODATION & ITINERARY CHANGES

We reserve the right to substitute accommodation with a property of similar standard where necessary.

Wildlife sightings are never guaranteed, and flexibility is an important part of any safari experience.

13. CLIENT CONDUCT

We reserve the right to remove any client from a safari if their behaviour is unsafe, disruptive, or negatively impacts others.

No refunds will be issued in such cases.

14. FORCE MAJEURE

WILD4 Photo Pty Ltd shall not be held liable for any failure or delay in performance due to events beyond our reasonable control, including but not limited to:

• Natural disasters

• Severe weather conditions

• Pandemics or epidemics

• Government restrictions or border closures

• Acts of war, terrorism, or civil unrest

• Strikes or transport disruptions

No compensation will be payable in these circumstances.

15. LIMITATION OF LIABILITY

All travel and safari activities are undertaken at your own risk.

WILD4 Photo Pty Ltd shall not be liable for any injury, illness, loss, damage, delay, or inconvenience arising from your participation in the safari.

Our liability is limited to the fullest extent permitted by law.

16. TOUR LEADERS & PHOTO HOSTS

We will always do our best to ensure that the advertised tour leader or photographic host is available for your safari.

However, we reserve the right to substitute them with another suitably qualified guide or host in the event of illness, family matters, or any circumstances beyond our control.

17. MEDICAL EMERGENCY IN THE FIELD

In the event of a medical emergency while on safari, we will assist in arranging evacuation from the field and transport to the nearest appropriate medical facility.

Once you have been transferred to a medical provider, all further treatment and associated costs become the responsibility of the client and their travel insurance provider.

In most cases, your own comprehensive travel insurance will also cover evacuation to the nearest medical facility.

18. PHOTOGRAPHY & MARKETING

Your booking form & deposit confirms that you grant WILD4 PHOTO Pty Ltd a worldwide, irrevocable, perpetual, non-exclusive, royalty-free licence to use, reproduce, and publish any photographs or video footage taken by WILD4 PHOTO Pty Ltd during the safari that may include your likeness, for marketing and promotional purposes. If you prefer not to be part of this, please let us know at the time of your booking and deposit payment.

19. CAMERA EQUIPMENT

All camera equipment and personal belongings are carried entirely at your own risk.

It is the client’s responsibility to ensure that all equipment is adequately insured against loss, theft, or damage.

WILD4 PHOTO Pty Ltd and its suppliers shall not be held liable for any loss or damage to equipment under any circumstances.

20. CUSTOM PHOTO SAFARIS

For custom or private safaris, pricing is based on the number of participants agreed at the time of booking.

If participant numbers change, we reserve the right to adjust the price accordingly. Any increase in cost will be payable by the remaining clients.

21. COMPLAINTS

If you have a concern during your safari, it must be raised immediately so we have the opportunity to resolve it.

If unresolved, complaints must be submitted in writing within 30 days of the safari ending.

22. DOCUMENTATION & RESPONSIBILITY

You are responsible for ensuring that you have valid travel documents, including a passport with at least six months' validity, as well as any required visas or health documentation.

It is also your responsibility to determine what visa requirements apply to your trip. We can provide supporting documentation where required to assist with visa applications.

23. GOVERNING LAW

These Terms & Conditions are governed by the laws of Australia.

24. ACCEPTANCE OF TERMS

Payment of your deposit confirms your full acceptance of these Terms & Conditions.

25. TERMS & CONDITIONS UPDATES

WILD4 Photo Pty Ltd reserves the right to make changes and updates to our terms & conditions at any time, without notice.
